SUMMARYThe Documentation Specialist reviews and prepares legal
documentation for loans/leases and servicing actions, performs
administrative duties, and answers inquiries. The years of
experience, requisite knowledge and skills of the incumbent, and
complexity of assignments will differentiate between the
levels.ESSENTIAL FUNCTIONS: Document and Information Review and
Preparation (45%)Reviews and analyzes checklist and information
provided by authorized staff to determine which documents are
requiredDetermines appropriate format for documentation based on
credit typeEnters information into internal credit software
applicationPre-screens, prepares and reviews documents to ensure
compliance with Federal and State laws, FCA regulations, and
Association proceduresQuality checks own work to ensure compliance
and accuracy, and may review other's work for accuracy and
complianceDocument Finalization (25%) May serve as a Notary for
customersReviews executed documents to ensure accuracy, appropriate
signature, and supporting documentation receivedWorks with title
and escrow personnel to ensure escrow instructions are followed and
to confirm disbursementsSends documentation to accounting and
requests funding, as directedAdministrative Duties (30%) Tracks
loan and lease status and outstanding items related to the credit
actions by entering information into database and
spreadsheetsPerforms hazard/flood insurance monitoring, including
setting up ticklers and confirming accuracy of insurance
certificatesPerforms delinquent real estate tax monitoring through
report review, communicating delinquencies to Credit department,
and generating borrower letters per procedureCompiles and inputs
information into the UCC database to ensure first lien position.
Monitors and completes UCC filings, continuations, searches, and
terminations timelyCompiles and inputs information into the
California Secretary of State database to ensure first lien
position. Searches and monitors UCC filings and continuationsEnters
and verifies information into DMV forms for paid out leasesConfirms
receipt, scans and indexes relevant loan documentation into content
management software and completes required filing and coordination
with other staffMaintains current and documented procedures for
specified function(s) within the departmentData Security and

documentation requirements for agricultural, and commercial
loans/leases.Knowledge of title insurance, escrow practices and
procedures.Knowledge of the agriculture, financial and real estate

able to use computer technology and a wide variety of software
applications, including Microsoft Office suite applications.
Proficiency in NGS, OnBase, CS and Lien Solutions is required in
this position and is a preferred qualification at the time of
hire.Ability to effectively read, write, and communicate in the
English language.Ability to prepare, edit, track, organize, and
review data/documents timely and accurately.Skill in serving and
working effectively with both external and internal customers in a
professional, respectful manner.Skill in analyzing information and
problem solving to formulate logical and objective
conclusions.Skill in working independently, prioritizing tasks, and
handling multiple projects simultaneously to complete work within
imposed deadlines and in accordance with established policies and
procedures.Skill to sort, analyze, and put into context complex

experience and knowledgeDocumentation Specialist:Education: High
School DiplomaExperience: 1-2 years of experience in general office
administration Or an equivalent combination of education and
experience sufficient to perform the essential functions of the
jobSenior Documentation Specialist:3+ years experience with loan
documents, title company records and/or escrow experience Or an
equivalent combination of education and experience sufficient to
perform the essential functions of the jobPHYSICAL DEMANDSPositions
in this class requires: typing, talking, hearing, seeing, and
repetitive motions. May be required to lift up to 10 pounds, carry,
push, pull or otherwise move objects while completing essential
functions. This position is comprised of sedentary work which
involves sitting at a computer a majority of the workday; walking
and standing are required only occasionally. The employee is
required to have close visual acuity to perform activities such as:
preparing and analyzing data and figures, viewing a computer
screen, and/or reading extensively.WORKING CONDITIONSEmployees work
in an office environment with moderate noise levels, controlled
temperature conditions, and no direct exposure to hazardous
