This position entails answering calls and fielding them accordingly, addressing visitor questions and needs, and providing an overall welcoming environment. Tasks frequently include performing ad hoc administrative duties as needed.TFI requires all staff members to fulfill all job functions in a consistent state of alertness and work safely.Essential Job FunctionsMaintain Transfer Flow and customer confidence and secure operations by keeping and protecting sensitive information.Greet customers, vendors, and employees in person and on the telephone utilizing Transfer Flow's telephonic/computer systems.Notify the appropriate staff of vendor, customer, and guest arrivals in a timely manner.Add new customers to the TFI website, send introduction and credentials via email, and mail the current catalog.Check the fax lines and email inboxes daily and forward information to the appropriate person as needed.Research, record, email, and post average gas prices weekly. Process catalog requests and manage catalog packets. Handle outgoing mail (invoices/checks), package and ship small outgoing requests and act as a backup to the Administrative Assistant.Assist with installation appointments by calling/emailing customers to confirm, preparing clipboards with appropriate paperwork, printing welcome signs, and electronically scanning and filing paperwork afterward. Check Will-Call Clipboards daily for upcoming pick-ups and notify the sales team.Maintain a supply of forms for will-call, repairs, and installs (check-in/out).Handle customer requests or questions, i.e., ordering lunch, Wi-Fi, etc. Process credit card charge requests on the credit card machine.Maintain show schedules and provide monthly updates to appropriate staff.Pull together information for annual strategy planning.Ensure the lobby is well-stocked, orderly, and cleanRefill paper supply in plete and mail all customer thank you cards.Assist with incoming customer service/technical support calls if the Tech Team is unavailable.Successfully multi-task and deal with stressful situations while maintaining a pleasant demeanor.Contribute to the team effort by accomplishing projects and tasks as needed. Assist in occasional projects from other managers, i.e., signing up for shows and completing necessary forms.Perform other related duties as requested by managers or direct supervisor. Required knowledge/Skills needed for this positionEnglish Language Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
