In addition to performing the tasks of a Legal Secretary, Office Leads will perform administrative responsibilities with regular input, assistance and supervision by Managing Partner. This Office Lead position is a full-time non-exempt staff position. Leads are required to maintain positive contact with clients, attorneys and staff while maintaining confidentiality of all matters.

  • Maintains adequate office coverage, including calendar management and scheduling of vacations.
  • Arranges marketing and office events and other staff and client activities including preparation for client audits and reviews.
  • Trains inexperienced staff personnel and acts as a mentor. Provides information and ensures compliance with firm policies and procedures.
  • Oversees data and file management including: new file set-up, tracking case assignments, and file closing and storage/retrieval procedures.
  • Maintains office appearance, interfaces with property manager regarding lease, tenant improvements and janitorial services.
  • Assists Managing Partner with management of inactive files and special projects to enhance office production.
  • Provides information to attorneys and staff to ensure high quality customer service for clients including information regarding client litigation guidelines.
    • Excellent written and oral communication skills.
    • Excellent interpersonal skills to communicate with court personnel, other attorneys and staff, clients, witnesses and outside vendors.
    • Provide necessary telephone assistance including, but not limited to, answering callers routine questions.
    • Generates and distributes memos to document policies and procedures.
    • Monitors and manages office expense budget, ensures cost controls as outlined in the Office Managers Accounting Procedures Manual: including approval of office bills/invoices, travel arrangements, and authorizes cost advanced and billable to clients.
    • Monitors and oversees care of office equipment, computers, and furniture.
    • Collects and submits Attorney Monthly Report of Time Off report to Administration.
    • Oversees ordering of all office supplies.
    • Oversees library maintenance.
    • Manages payroll including notification of new hires, changes, and terminations.
    • Strong knowledge of trial procedures.
    • Strong understanding of legal terminology, local court/jurisdiction rules and adheres to law firm procedures. Compliance with cost recovery methods and procedures.
    • Ability to identify urgency and prioritize tasks accordingly.
    • Ability to manage time and multitask effectively and display problem solving skills by developing methods or approaches to getting the work done.
    • Maintain composure and professionalism under pressure, as well as adapt to new situations and changing priorities. Practice appropriate office etiquette.
    • Position requires sitting for up to 6 hours per day while keyboarding and physical activity including, but not limited to, bending, stooping, walking, kneeling, crouching, reaching, repetitive motions and lifting of up to 25 pounds.
    • Ability to operate business machines such as photocopy, faxing and scanning equipment. We do not work with recruiters or their candidates.
