Position SummaryPrimary DutiesUnder general supervision, the Human Resources Assistant provides front-office clerical/receptionist support and assistance to the Employment and Classification Compensation Office, answering phones and assisting walk in customers with completion of necessary employment paperwork including I-9 processing for new employees, faculty, staff and students. Additionally, incumbent in accordance with the CSU Background Check policy, will also serve as Background Check Processor ensuring the immediate processing of background checks (including criminal records check) for employees, volunteers, and special consultants working on the Chico State campus and for current staff and management that are voluntarily moving into a sensitive position on campus. Other responsibilities include preparing files, documents and forms and on occasion provide coverage to the HRSC customer service counter.For a full description of job duties, please visit:, Skills and AbilitiesKNOWLEDGE:Incumbent must possess:

  • Thorough knowledge of:
  • English grammar, punctuation and spelling.
  • Office methods, procedures and practices.
  • Fluency in using standard office equipment (computers, copiers, phones) and standard office software packages such as, Microsoft Office (Word, Excel, and Outlook) and related computer software packages.
  • General working knowledge of applicable University infrastructure, policies, and procedures.SKILLS:Incumbent must possess:
    • Active problem solving and effective interpersonal skills as work often involves frontline contacts with a variety of campus and community individuals.
    • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.
    • Demonstrated competence in effectively presenting standard information in writing.
    • Typing and keyboarding skills.ABILITIES:Incumbent must have the ability to:
      • Learn, independently interpret, and apply a wide variety of complex policies and procedures, and be able to identify deviations from applicable policies.
      • Apply independent judgment, discretion, and initiative to address problems, participate in developing practical, thorough and, at times, creative solutions.
      • Respond to routine inquiries and explain standard policies and procedures to others.
      • Identify and solve standard problems where policy and procedures are referenced and refer more complex problems to appropriate staff.
      • Perform standard arithmetic calculations of a transactional nature, including tracking and comparing data.
      • Use standard office equipment as well as quickly learn to use new office support technology systems and software packages.
      • Work with and maintain integrity of confidential and sensitive information and materials with tact, discretion, and diplomacy.
      • Perform assigned duties.Required Education and/or ExperienceThis position requires experience to be proficient in performing most or all work assignments and should include administrative support, coordinating and prioritizing many different clerical tasks, applying and communicating policies and procedures. These qualifications, and those listed above, would normally be obtained through completion of a high school program or its equivalent and two years recent experience in an office environment.Additional Requirements for this PositionN/ARecruitment PreferencesPreference may be given to applicants with the following as they may be considered specialized skills:
        • Three years of experience in an office environment.
        • Recent front office reception experience.
        • Background check/screening experience.
        • Three years of experience providing excellent customer service in a fast-paced environment.
        • Experience communicating complex procedures, policies, information, and instructions to a wide variety of individuals.
        • Recent experience in a Human Resources department, preferably assisting with new hire on-boarding.
        • I-9 verification and processing of International Student documents (I-94, VISA, I-20).
        • Recent experience conducting employment reference checks.
        • Bachelors degree in Human Resources.Special Requirements
